Enterprises · IT governance, traceability and compliance

Every retired IT asset, documented from start to finish.

EoL360 lets the organisation evidence regulatory compliance for the end of life of its IT assets (waste hierarchy, GDPR and CSRD) with structured documentary support across the whole chain of custody, in a single platform.

Compliance

Three concurrent regulatory planes.

The end of life of an IT asset triggers three different regulatory frameworks at once. EoL360 documents them from a single case file.

Law 7/2022 · RD 110/2015
Waste
What it requires
Waste hierarchy, priority routing of used EEE to a second life, and documentary evidence of the complete treatment.
It covers
Technical assessment report and WEEE operator report.

GDPR
Data protection
What it requires
Security of processing and accountability: the organisation must be able to demonstrate that the data on the retired drives was deleted.
It covers
One wiping certificate per drive.

CSRD · ESRS E5
Sustainability information
What it requires
If the entity falls within the scope in force, or its value chain asks it for data, the end-of-life figures need evidence.
It covers
Environmental impact report, traceable down to every asset.

The problem

Handing over the equipment does not end the company’s liability.

The regulation is not satisfied by retired equipment being handled correctly: it requires the company to be able to evidence it. Until the complete treatment is documented, liability remains the company’s, and most collection processes do not generate that documentary support.

Waste
A liability that is not transferred
When a company discards its IT equipment, it legally becomes the producer of that waste. That status does not end when the equipment is handed to a third party: liability only ends once the complete treatment is duly documented.
Data protection
Sanitisation without proof
The company is responsible for the personal data held on its equipment, including when it is retired. Evidencing that it was deleted requires a sanitisation certificate (verified secure wiping) for every drive. Without it, the organisation has no evidentiary support before the supervisory authority.
Traceability
Operations without a case file
A supplier can sanitise, reuse and recycle correctly without delivering the fitness assessment: the technical report that determines, device by device, whether it can have a second life or must be treated as waste. The company holds certificates, but not the justification behind each destination decision.
Sustainability information
Claims without evidence
If the organisation publishes sustainability information, the end-of-life figures it reports must be supported by the verification process, the independent review of that information. Without documentary support, those claims are exposed.
EoL360 · Platform

Every document, one link in the chain of evidence.

The regulation does not stop at requiring proper management of IT assets’ end of life: it requires the ability to prove it. EoL360 generates, batch by batch, the documentary case file that makes this possible, and keeps it accessible and downloadable on the platform.

Collection record and delivery note

Documents the handover of the equipment and opens the chain of custody. Records that it leaves as used EEE pending assessment, with an identified inventory.

Wiping certificates

Evidence the individualised sanitisation of every drive to recognised standards. They are the data-protection evidence that personal data was verifiably deleted.

Technical assessment report

Evidences the application of the waste hierarchy: documents, asset by asset, the fitness assessment and its outcome. Without it, the organisation cannot show it prioritised a second life before discarding.

WEEE operator report

Issued by the authorised operator for the non-fit fraction. Evidences its final treatment and closes the complete treatment on record.

Environmental impact report

Additionally, it translates the operation into indicators for sustainability information: equipment routed to reuse, recycled fraction and avoided emissions, traceable down to every asset.

And the platform that brings them together: case-file status by batch, a documentary completeness matrix that shows at a glance what is missing in each batch, and each document downloadable whenever it is needed, whether for an inspection, an audit or an information request.

By department

The same evidence, five different needs.

Retiring IT assets involves several areas of the organisation, and each one finds in EoL360 the support it needs.

The inventory of what was retired and the sanitisation certificates, always available with no manual reconstruction. Operations are coordinated on one platform, not in emails and spreadsheets.
Operating model

Two phases, two legal regimes.

Not every retired device is waste. The regulation distinguishes between used equipment that can still be reused and equipment that is already waste, and requires prioritising the former. EoL360 structures the collection process into two phases that reflect that distinction.

Phase 1 · Pre-waste

Equipment leaves the site as used EEE (electrical and electronic equipment) pending technical assessment: it is not yet waste. Every drive is sanitised and every device is assessed to determine whether it can have a second life. This is the domain of prevention, the first level of the waste hierarchy.

Phase 2 · WEEE fraction

Only equipment not fit for reuse becomes WEEE (waste electrical and electronic equipment) and is handed to an authorised operator. Its treatment is documented until the case file is closed.

What the regulation requires
  • Spanish Law 7/2022 sets out a waste hierarchy whose first priority is prevention, and requires the waste producer to manage waste accordingly and to evidence it with documentation (arts. 8 and 20.1).
  • RD 110/2015 requires professional users of EEE to route used equipment to a second use whenever possible, and reserves handing it over as WEEE for equipment that turns out to be unusable (art. 13).
  • Sending the whole equipment fleet to WEEE without assessing it does not comply with that obligation, and leaves the company unable to evidence that it applied the waste hierarchy the law requires.
Operations

What about physically collecting the equipment? We handle that too.

EoL360 coordinates the operation from start to finish, and every action feeds the batch case file with no extra work for the organisation’s internal teams.

Collection and custody
Coordination of collection logistics at the organisation’s sites, with the chain of custody signed from the very first handover.
Certified sanitisation
Secure wiping of every drive to recognised standards, with an individual certificate per drive.
Fitness assessment
Technical assessment of every device to determine its destination, with the reasoning recorded in writing.
Coordination with an authorised operator
The non-fit fraction is handed to an authorised WEEE operator, and its treatment is followed through to documentary closure. Integrated batteries are managed separately, under their own specific regulation.
Does the organisation already work with a collection provider?

Tell us who. We get in touch with them so the documentation is generated in EoL360, with no need to change provider.
