ITAD · Operations, clients and certificates

ITAD operations, turned into compliance.

Corporate clients need to evidence regulatory compliance for the end of life of their IT assets, both on waste and on data protection. EoL360 generates that evidence from the operator’s own operations, with no extra administrative work.

The problem

A wiping certificate does not evidence compliance.

Most operators hand over wiping certificates and consider the service closed. But that document only covers part of what the client needs to evidence.

Data protection, only halfway there.
The certificate evidences that a drive was wiped. Without traceability (which device it belonged to, who held custody of it and at what points), the client cannot link it to its inventory or demonstrate control over the data throughout the whole process.
Waste, left uncovered.
The regulation requires the client to prioritise a second life for its equipment and to evidence the complete treatment of whatever is discarded. None of that appears on a wiping certificate: it takes the fitness assessment of every asset and documentation of the treatment of the WEEE fraction.
Documentation put together by hand.
Inventories, wiping reports, appraisals and emails live in different systems, and every batch closure means reconciling them.
Why EoL360

From equipment trading to a compliance service.

The usual ITAD model is centred on trading: collect, wipe, appraise and resell. But what the corporate client needs is not just to have its equipment removed: it needs to be able to prove it was done in line with the regulation. The operator that provides that documentary support offers the level of evidence that its clients’ legal counsel and data protection officer require. It stops competing only on buy-back price and starts competing on something the client cannot get on its own.

Operations

Every phase of the process, recorded where it happens.

01
Collection and delivery note.
Collection delivery-note assistant and chain of custody signed electronically from the very first handover.
02
Declared vs received reconciliation.
The devices the client declares are matched against those that arrive at the plant: any that are missing or extra are identified from the moment of reception.
03
Inventory by asset and by drive.
Every device and every drive are identified and linked to each other.
04
Sanitisation record.
The wiping result for every drive is added to the record of the asset it came from.
05
Device audit.
In-house audit tool for Windows devices, servers and Android. It checks every component and connection, and includes questionnaires to complete the grading. The result is kept in the asset record and forms the basis for the fitness assessment.
06
Defect photos from a phone.
The technician scans a QR code and uploads photos of each device’s condition from their phone, without logging in. They are organised by area and defect in the asset record.
07
Fitness assessment.
The technical assessment of every device and its destination decision are documented with the reasoning behind it.
08
Appraisal.
Appraisal of the fit assets, with electronically signed acceptance.
09
Workshop.
Parts stock, interventions and device comparison for preparing assets routed to a second life.
10
QR labels.
Physical identification of every asset, linked to its record on the platform.
11
Carbon footprint.
A database for calculating the environmental impact of every asset, based on the product carbon footprints (PCF) published by manufacturers and on recognised reference databases.
12
Universal search.
Any device can be found by serial number, IMEI or label, and even by the serial number of the drive it contains.

Stock and resale

From the closed lot to the margin on every device.

When the lot is closed, the fit devices and the recovered parts move into stock with their acquisition cost. From there, EoL360 follows every unit through to its sale and calculates the real margin on each device.

Stock generated when the lot is closed.

Every device and every part enters stock at the cost of the accepted appraisal. Its status is always visible: available, reserved, sold, earmarked for parts or written off.

Sales record.

Channel, price, buyer and payment method for every sale, including cancellations and returns.

Cannibalisation with cost allocation.

The cost of a donor device is allocated across the parts taken from it, according to reference values per component type defined by the operator.

Refurbishment cost traced.

When a part is used in a repair, its cost is added to that of the repaired device, and its specifications are updated automatically.

Margin per device.

Acquisition cost, refurbishment cost and sale price in a single record: the real margin on every unit, without spreadsheets.

For the operator’s clients

The compliance case file, generated by the operations themselves.

As the batch moves forward, EoL360 generates the documentation corporate clients need to evidence their regulatory compliance:

Collection record and delivery note.

Opens the chain of custody, with an identified inventory.

Wiping certificates per drive.

Linked to the asset each drive comes from.

Technical assessment report.

Fitness and destination decision for every asset.

WEEE operator report.

Final treatment of the non-fit fraction.

Environmental impact report.

Reuse, recycling and carbon-footprint indicators, traceable down to every asset.

Client portal.

The operator’s corporate clients access their own space: they check the status of every batch and download their documentation, with no dependence on email.
